Cancellation and returns

At Ludi-Time, we understand that unforeseen circumstances may arise and you may need to cancel or change a reservation. This policy explains the terms and procedures for cancellations, changes and refunds of our services.

1. Cancellation by the customer

If you wish to cancel a reservation, the following conditions apply:

Cancellation up to 14 days before the event: Free cancellation with full refund.

Cancellation between 7 and 14 days before the event: 50% of the total amount of the reservation will be refunded.

Cancellation less than 7 days before the event: No refund will be made.

All cancellation requests must be submitted in writing to contact@ludi-time.be. The date of receipt of your email will be considered as the official cancellation date.

2. Modification of a reservation

If you need to change the date or details of a reservation, please contact us as soon as possible. We will do our best to accommodate you, but changes are subject to availability. Changes can be made free of charge up to 14 days before the event. After this time, a change fee may apply.

3. Cancellation by Ludi-Time

In case of cancellation or postponement of the event on our part (extreme weather conditions, unavailability of an animator, or other exceptional circumstances), we will offer you a new date or a full refund.

4. No show

If you do not show up on the day of the event without informing us in advance, no refund will be given.

5. Repayment period

Refunds will be made via the same payment method used when booking. Once the cancellation is confirmed, the refund will be processed within 10-15 business days.

6. Claims

If you have a problem with a service that you have booked, please contact us within 48 hours of the event at contact@ludi-time.be. We are committed to examining your complaint and finding a satisfactory solution.

7. Return and refund policy for wooden board games rental

When you rent wooden board games from Ludi-Time, the following conditions apply:

Rental period and return

The rental period is defined at the time of booking (for example, a weekend, several days or a specific period).

The sets must be returned in their original condition and in full at the latest by the end of the agreed rental period.

Damaged or missing equipment

If equipment is missing or damaged, Ludi-Time reserves the right to withhold part or all of the security deposit, depending on the cost of replacement or repair.

In the event that no deposit has been paid, we reserve the right to charge for repair or replacement.

Claim for non-compliance

If you notice a defective or missing item upon receipt of the game, you must inform us immediately (at the latest within 24 hours after receipt).

We will do our best to offer you an exchange or a partial refund, depending on the availability of the game and the extent of the problem.

Refunds for game rental

In the event of cancellation according to the conditions mentioned above (see Sections 1 to 5), the reimbursement of the rental follows the same rules as those for animation services.

In the event that a partial or full refund is granted following a claim, this refund will be made via the same payment method used at the time of booking, within 10 to 15 working days after confirmation of the situation.
